About the P.A.S.S. System
S.W.A.T. Airsoft operates its own independent, internally administered player verification system known as P.A.S.S. (Player Approval Site System).
The system enables participating airsoft retailers to verify the registration and approval status of S.W.A.T. members who have satisfied our requirements for establishing a legitimate airsoft defence under the Violent Crime Reduction Act 2006 and associated regulations.
Our current insurance documentation is available on this website and may be downloaded in PDF format for inspection and due diligence purposes.
Access to the P.A.S.S. verification system is provided to retailers completely FREE of charge.
Retailer Access and Security

Retailers requiring access should email:
S.W.A.T. has upgraded its P.A.S.S. security arrangements to provide authorised retailers with direct access to our approved player records.
Access credentials are issued only to verified retailers using a recognised business email address.
Passwords and access credentials must not be shared with customers, players or unauthorised third parties.
Terms and Conditions of Retailer Access
1. Verification Responsibilities
Retailers are responsible for satisfying themselves that an appropriate statutory defence applies before supplying a Realistic Imitation Firearm (RIF).
The P.A.S.S. system provides supporting evidence of a player's membership, identity verification and qualifying airsoft activities.
Retailers should verify a player's P.A.S.S. approval status through our secure database or directly with S.W.A.T. before relying upon our records.
A membership card, membership number or customer-provided documentation must not be treated as conclusive evidence of P.A.S.S. approval.
2. Membership Does Not Automatically Establish a Defence
Not every registered S.W.A.T. member will have completed the requirements for P.A.S.S. approval.
A player may be awaiting:
- Completion of the qualifying attendance period.
- Identity and age verification.
- Internal membership or background checks.
- Administrative processing and database updates.
Accordingly, membership alone must not be interpreted as confirmation of P.A.S.S. approval.
3. Retailer Due Diligence
Under the Violent Crime Reduction Act 2006 and the Realistic Imitation Firearms Regulations 2007, retailers must be able to establish that an applicable statutory defence exists.
Although the legislation does not prescribe one exclusive verification method, retailers relying upon S.W.A.T. P.A.S.S. must follow our verification procedures.
Retailers must not represent a player as P.A.S.S. approved unless that approval has been confirmed through our system or directly by S.W.A.T.
Failure to follow these requirements may result in immediate suspension or withdrawal of retailer access.
Where we have reasonable grounds to suspect unlawful sales or misuse of our verification records, S.W.A.T. reserves the right to refer the matter, together with relevant supporting evidence, to the appropriate Trading Standards authority or police.
4. Players Not Appearing on the Database
Occasionally, an eligible player's approval may not yet appear within the online database due to administrative processing or pending verification.
Where this occurs, retailers should contact S.W.A.T. directly.
We can confirm a player's current P.A.S.S. status by email following appropriate verification.
Retailers must not assume that an unlisted player has been approved.
Understanding the P.A.S.S. Approval Register
Our secure retailer database identifies registered S.W.A.T. members by their unique SAM membership number, name and approval status.
Players who have successfully completed the required verification process will have an approval date displayed alongside their membership details.

The displayed approval date confirms that the member satisfied the P.A.S.S. requirements on that date. Retailers must also check that the approval remains current and has not been suspended or withdrawn.

Where no approval date is displayed, the member must be treated as NOT P.A.S.S. APPROVED.
A retailer must not rely upon that membership record as evidence of a verified P.A.S.S. defence.
Further confirmation must be obtained directly from S.W.A.T. before relying upon our system.
We do not supply addresses, emails or phone numbers of our members on this website.
Members Under 18 Years of Age
S.W.A.T. does not grant P.A.S.S. purchasing approval to members under the age of 18.
Although younger players may participate in permitted airsoft activities and hold S.W.A.T. membership, their P.A.S.S. purchasing approval date will not be issued until:
- They have reached 18 years of age.
- Appropriate proof of age and identity has been provided.
- All relevant P.A.S.S. eligibility and verification requirements have been satisfied.
- S.W.A.T. has formally authorised their approval.
It is unlawful to sell a realistic imitation firearm to a person under 18 years of age.
Membership Cards and Supporting Documentation
S.W.A.T. membership cards are issued for membership identification purposes.
Possession of a membership card does not necessarily establish that the holder has obtained P.A.S.S. approval.
A member's approval may be pending, suspended, withdrawn or subject to further verification.
For this reason, retailers should not rely solely upon photographs, photocopies or digital images of membership cards.
The current P.A.S.S. database record or direct confirmation from S.W.A.T. is the authoritative source of P.A.S.S. approval status.
Protection of Player Information
Access to the P.A.S.S. register is provided exclusively for legitimate retailer verification purposes.
Retailers must ensure that information obtained through the system is handled securely and used only for authorised purposes in accordance with applicable data protection legislation.
Unauthorised disclosure, reproduction, distribution or misuse of player information is strictly prohibited.
S.W.A.T. reserves the right to withdraw access where these conditions are breached.

Players seeking clarification of their own membership or approval status may also contact S.W.A.T. directly.
Information concerning another player's membership or approval will only be disclosed where there is an appropriate and lawful reason to do so.
